Snaptally is built to keep your data private. Here's exactly what happens to it — no jargon.
Your time sheet entries are saved in your browser's local storage only. They are not uploaded to our servers during normal use. If you never use Sync, your entries never touch our infrastructure.
Client names, project names and their codes are saved against your workspace, so everyone in it picks from the same list. We also record when a client was last used on a timesheet — that is what orders your picker and what lets the app tell you which clients are safe to remove. When you import a spreadsheet it is read in the request and discarded: only the names, codes and creation dates you ticked are kept, never the file. Removing a client from the list never changes an entry already tagged with it.
Read only, and it never reaches us. The connection is made in your browser under a read-only calendar scope, and event titles and times are held in memory for the week you are looking at so they can be offered as rows. No calendar data is stored on our servers, and you can disconnect from the Calendar tab at any time.
Optional, and it works in your browser. It fills a FunctionFox timesheet from the sheet already on your screen, after showing you what it is about to write. Your entries do not pass through us on the way.
When you create or join a workspace, your organization name and a unique workspace ID are stored on our server. This is what allows coworkers to find and join the same workspace. We store the name you type — nothing else about you personally.
Sync is optional. If you generate a sync code, your entries are stored on our server under that 9-digit code so they can be loaded on your other devices. Without an account, a synced sheet is kept for 4 weeks from the last time you used it, and every sync restarts that window. If you link it to a free account the sheet itself stops expiring, but individual entries are still removed one year after their own date. You can purge the server copy yourself at any time, and if you never use Sync your entries never leave your device.
Accounts are entirely optional. If you sign up, your name and email address are stored by Clerk (our authentication provider) under their privacy policy. We store a minimal profile on our own server — your Clerk ID, email, display name, and account tier. This is used to link your account to your workspaces so your entries are backed up. Entries are kept on our server for one year from the date of the entry, on every plan, and then deleted. You can download all of your entries as a CSV at any time from your account page. No time entry content is ever stored at the account level. You can delete your account at any time from your account page.
When you transcribe a photo or text, it is sent to Google's Gemini AI to read the times and tasks, then the formatted result is returned to your browser. We do not store the photo or text — it is processed in transit and discarded. Transcription is unlimited and free on every plan. We count requests per IP address against a daily fair use ceiling to stop automated abuse, and that count is deleted the next day. Google handles it under their own data policies during that request.
We log basic events (like "a transcription happened" or "sync was used") to understand how the app is being used. Each event includes a one-way hashed version of your IP address — this cannot be reversed — plus a timestamp and the event type. No entry content, no names, no emails, no raw IP addresses.
We never store the content of your time entries unless you've enabled Sync. If you turn on the monthly copy in your account settings, we email a CSV of your entries to your own address once a month; it is off unless you switch it on. We never sell your data or share it with advertisers. Anonymous users have no identity tied to their data. And the list above is the whole list — client and project names are the only business content we hold. Account holders can see and delete everything we store by visiting their account page.
Because your entries live in your browser, clearing your browser data, cookies, or history will erase them permanently. Private or incognito windows don't retain data between sessions. Use Sync or create a free account to reach your entries across devices, and export to CSV as a personal record you keep.
